Payments with Stripe — without leaving Clientflow

Get paid when the job is done. If the customer has saved a card, Clientflow charges the amount automatically via Stripe. If they haven't, they pay the invoice themselves by card, Apple Pay or Google Pay — and MobilePay, if you switch it on. You never create a Stripe account manually and never log into Stripe: everything is set up and managed inside Clientflow.

What you get from the integration

Chasing payments is the biggest time sink after invoicing itself. With the Stripe integration, getting paid becomes something that happens on its own — from the charge to the booking in your accounts.

Automatic charge when the job completes

The customer saves their card once via a secure link. From then on, the amount is charged automatically every time a job that's due to be invoiced is marked completed. That's what makes recurring work and subscriptions pay for themselves.

Customers can pay themselves — card, Apple Pay, Google Pay and MobilePay

The invoice Clientflow sends carries a Pay now button that opens Stripe's secure payment page. The link can only be paid once, so nobody risks paying twice. MobilePay is offered alongside card once you've switched it on.

Booked automatically in your accounting

The invoice is still issued in your accounting system — Dinero, e-conomic or Billy. With Stripe reconciliation filled in, the payment is booked automatically against the invoice, fees included, so your books balance.

Stripe handles card data — not you

Card details are entered directly into Stripe's secure fields and never touch Clientflow. Stripe is PCI-DSS Level 1 certified — the same security level as banks and the largest webshops.

How it works in practice

You invoice like you always do — the payment takes care of itself afterwards.

1. Job is completed

The field employee marks the job as done in the mobile app. Clientflow creates the invoice in your accounting system as usual and sends it to the customer.

2. The card is charged — or the customer pays themselves

If the customer has a saved card, Clientflow charges the amount automatically via Stripe. If not, they pay themselves with the Pay now button on the invoice — card, Apple Pay, Google Pay or MobilePay.

3. Extra authentication is handled automatically

If the customer's bank requires an extra confirmation (3-D Secure), the cardholder automatically gets an email with a link to an Authorize payment page. If a payment fails outright, the customer's conversation in Clientflow is flagged immediately so the office can follow up.

4. The payment is booked and paid out

The payment is booked automatically against the invoice in Dinero, e-conomic or Billy, and the money is paid out to your own bank account on Stripe's regular payout schedule.

Setup in a few minutes

Payments are set up in one place in Clientflow. The verification is legally required for anyone accepting payments — you complete it directly in Clientflow and are never sent off to a third-party system.

    1. Connect your accounting system

    Go to Settings → Accounting and connect Dinero, e-conomic or Billy on the Accounting integration tab. Clientflow doesn't create invoices or do bookkeeping — your accounting system does that, exactly as before.

    2. Let Clientflow send the invoices

    Switch on Clientflow sends invoices and collects payment at the top of the page. This is a prerequisite, not a preference: without it Clientflow can neither charge a saved card nor give the customer a pay button — and the Enable payments button stays disabled.

    3. Enable payments

    Select the Payments tab and click Enable payments in the Payments card. Complete the short verification — company details, identification and the bank account your payouts should go to. Once the status switches to Active, you're ready.

    4. Set up Stripe reconciliation

    Pick a Clearing account (Stripe) and a Fee account under Stripe reconciliation on the same tab. Without them the payment is still collected from the customer but can't be booked — and the invoice isn't registered as paid.

    5. Save the customer's card

    On the customer's Billing tab you'll find Card on file. Click Send payment link, and the customer saves their card once via a secure page — from then on, payment is charged automatically.

FAQ about payments with Stripe

Do I need to create a Stripe account?
No. You enable payments inside Clientflow, and we automatically set up what's needed behind the scenes. You never log into Stripe — balance, payments and payouts are shown directly on the Payments tab in Clientflow.
Why is the Enable payments button disabled?
Because Clientflow sends invoices and collects payment isn't switched on yet. Payments require Clientflow to send the invoices — otherwise the customer would get both your accounting system's invoice and a payment request from us. Switch it on at the top of the page and you can enable payments.
Can my customers pay with MobilePay?
Yes, if you switch MobilePay on and Stripe has activated it on your account. It isn't on by default, and it costs a fixed monthly subscription at Stripe plus slightly more per transaction than a card. Clientflow shows the price before you confirm.
Does Clientflow see my customers' card numbers?
No, never. Card details are entered directly into Stripe's secure fields and handled exclusively by Stripe, which is PCI-DSS Level 1 certified. Neither you nor Clientflow sees or stores the card number.
What if the customer doesn't want to save their card?
Then they pay themselves with the Pay now button on the invoice link Clientflow sends — by card, Apple Pay, Google Pay or MobilePay. It needs no extra setup: the button is on every invoice Clientflow has sent, as long as payments are active.
Does it cost extra to accept payments?
Transaction fees apply when you accept payments — Stripe processes the payment and charges its own fee. The full terms are set out in our Terms. With Stripe reconciliation set up, the fees are booked automatically together with the payment, so your accounting balances.
Should I set up Stripe reconciliation straight away?
Yes. Without it the payment is still collected from the customer, but Clientflow skips the whole booking — the money isn't lost, but it isn't in your accounts either, and the invoice isn't registered as paid. Fill in the Clearing account (Stripe) and Fee account, and the completed payments are booked automatically afterwards.
Does it work with Dinero, e-conomic and Billy?
Yes, all three. The invoice is still issued in your accounting system, and when the payment goes through it's booked automatically against the invoice via Stripe reconciliation. On Billy we don't yet support automatic booking of the payout itself, from Stripe to your bank — you reconcile that through your bank reconciliation as before.
When does the money reach my account?
When a payment completes, it first lands on your Stripe balance and is then paid out automatically to your bank account on Stripe's regular payout schedule. You can follow balance and payouts directly in Clientflow.
What happens if a card charge fails?
If the bank requires extra authentication (3-D Secure), the cardholder automatically gets an email with a link to an Authorize payment page, where the payment is approved in a couple of clicks. If the payment fails outright — for example due to insufficient funds — the customer's conversation in Clientflow is flagged, so you can follow up or agree on another payment method.
