Call straight from the customer card

Tap the call button on a contact or conversation and your phone and theirs connect automatically. A built-in dialer lets you type a number — if it's unknown, the contact is created for you.

Phone menu (IVR) with key options

Build a greeting and “press 1 for…, press 2 for…” that routes callers to the right team or queue. A menu option can also text the caller automatically.

Queues & opening hours

Put calls in a queue and ring your team by the rules you choose — ring all, round robin or random — with hold music and a wait limit. Set opening hours per weekday and handle out-of-hours calls differently.

Voicemail & call recording

Unanswered calls can be left as a voicemail with a clear voicemail badge and playback. You can also record ordinary calls — saved and playable straight from the conversation.

AI transcription & summary

Recorded calls are transcribed automatically, summarized as bullet points and given a read on the customer's mood — so you can catch up on a call without listening to the whole thing.

Personal numbers & Do Not Disturb

Each team member has their own number and can switch on Do Not Disturb — for an hour or the rest of the day. You decide whether field workers may call and text from the company number.

Frequently asked questions about telephony

Do I have to switch phone providers to use telephony?
It depends on how far you want to go. If you only want to send SMS from your own number, you keep the number as it is — our support verifies it, and then you can send SMS straight from Clientflow. If you also want to receive SMS and handle calls (phone menu, queues, voicemail and receptions), you port your number to us and we handle the practical work.
What does telephony cost?
SMS is billed by usage at 0.35 kr/message, regardless of which number you send from. Full telephony on a ported number costs 399 kr/number/mo and includes unlimited calls, unlimited inbound SMS and unlimited receptions.
How does AI call transcription work?
Recorded calls are sent to our AI, which transcribes the conversation, produces a short bullet-point summary and reads the customer's mood. The summary is saved on the call in the customer's thread, so you and your colleagues can catch up on a call in seconds without listening to all of it. Transcription draws on your AI credits.
Can staff get peace and quiet when they're busy?
Yes. Each team member can switch on Do Not Disturb — for an hour, the rest of the day, or until they turn it off again — so calls skip them in the meantime. As an administrator you also decide whether field workers may call and text from the company number at all.
Do I have to record my own menu prompts?
No. You can type your greeting or menu prompt and Clientflow turns it into natural-sounding speech — you can add emphasis and pauses. If you prefer your own voice, you can upload your own audio files instead.
Where do I set up the phone system?
Under Settings → Email & Telephony on the Telephony tab. There you build the phone menu, set opening hours and queues, turn recording on or off, and manage your numbers — request new numbers and choose your primary SMS sender number in the same place.
