Problem · customer portal

Your customer wants to see when you're coming — without calling

Your customers are used to logging into Netflix, online banking and government services. When they want to know when the window cleaner is coming, or what the last cleaning cost, they expect the same experience. A customer portal moves communication from phone and SMS to self-service — and frees your team from the questions you get every day.

Recognize this?

You get 5-10 calls a week from customers who just want to know 'when are you coming next?'

A customer calls about an invoice from three months ago — you have to dig through the accounting system

Customer wants to move a visit, but you don't have the calendar open, so you agree 'I'll call you back'

Commercial customers ask if they can access all their properties in one place — you can't offer that

The customer doesn't know if the visit was actually performed or what was done — because there's no receipt

Why does this happen?

Most tradespeople and service businesses communicate ad-hoc — SMS, email, phone, Messenger. That means the same information is spread across five channels, and the customer has to go through you every time they want to know something. For you it's 5-10 extra calls a week; for the customer it's friction that makes them look for an alternative next time they need service.

The second problem is that modern commercial customers expect something better. A property management company, a gym chain, a real estate administrator — they want one place where they can see all their properties, planned visits, history and invoices. If you can't offer that, they pick the supplier who can.

A customer portal solves it with three mechanisms: self-service (the customer sees what they need themselves), transparency (all history is in one place), and contextual communication (messages stay attached to the specific agreement or invoice — not in an endless SMS thread).

How Clientflow solves it

Clientflow includes a full customer portal in every plan. You activate it per customer, and the customer gets access via a secure login — no extra app, no installation.

Upcoming visits and history

The customer sees planned visits 6-12 months ahead and the entire service history backwards. Stop answering 'when are you coming next' on the phone.

Invoices and payment status

All invoices are available in the portal with payment status. The customer can download PDF and see what's paid, due or outstanding.

Messages in context

Questions about a specific invoice or a particular visit stay attached to that record — not in a long SMS thread. You always find the right context.

Self-service visit changes

The customer can move or cancel visits within the rules you set (e.g. at least 48 hours in advance). You skip juggling the calendar for every shift.

What you get

The obvious: fewer calls. Service businesses with an active customer portal typically report 30-50% fewer inbound calls — all the 'when are you coming' or 'can I get that invoice again' calls. The freed-up time can go to servicing more customers or running the business.

The less obvious — and more strategic: better customer experience without extra time. A modern customer portal is the strongest retention tool most service businesses have, because the customer doesn't have to look for alternatives with better self-service. Commercial customers with multiple properties typically stay longer when they have one unified view.

Frequently asked questions

Does the customer have to install an app to use the customer portal?
No. The portal is web-based and works in any modern browser on mobile, tablet and desktop. The customer gets a link and creates a password on first use — after that it's just to log in.
Can I control exactly what the customer can see and do?
Yes. You set rules per customer: can they move visits themselves? How many days in advance? Can they see prices per visit or only total invoices? Every setting can be customized per customer or per customer group.
What about commercial customers with multiple properties?
Commercial customers with multiple locations get one login covering all their properties. They can filter by location, export reports per property and see consolidated numbers across properties. Built specifically for property administrators and facility managers.
Does the customer portal cost extra?
No. The customer portal is included in all Clientflow plans — you don't pay per portal user. You can enable it for as few or as many of your customers as you want.
Is it secure enough for GDPR and personal data?
Yes. Every customer has their own login with strong authentication, and data is encrypted both in transit and at rest. We have a Danish data processor agreement, and you can always export or delete a customer's data in full.
