Switching from Fenster to Clientflow — complete migration guide
A practical walkthrough of how we move you from Fenster to Clientflow with zero data loss. Your own time on it is typically under 2 hours — we do the rest. Field mapping, day 1 vs day 30 and the honest risks are covered below. Free migration, no 12-month commitment.
Who is this guide for?
If you're on Fenster right now and considering switching, this is for you. We've migrated several Danish window cleaners from Fenster, so the path is known — and what we describe here is the real journey, not an idealized version.
The typical customer switching from Fenster matches one of three profiles: either 1) you've grown past 5 employees and hit Fenster's ceiling, 2) you want to capture leads from your website or Facebook and can't do it in Fenster, or 3) you're expanding from pure window cleaning to cleaning, landscaping or other trades where Fenster doesn't follow. If that's you, there's no reason to wait.
If you're solo and 100% happy with Fenster, this guide isn't meant as a push — stay on the tool that fits your size. Read the Fenster review first if you're undecided.
What the migration looks like
Most of the work sits on our side. Your own time is typically 30 minutes for the export step plus an hour for verification — after that you're running normally. The whole thing is usually 1-2 business days.
- Step 1 — Export from Fenster (30 min, your part). Request an export from Fenster of your customer database, subscriptions and service history — or export it yourself if you have admin access. We guide you on exactly which fields we need.
- Step 2 — Data import (we do the work). We map Fenster fields to Clientflow fields. Customers become contacts in the customer registry, subscription agreements become recurring jobs with price and frequency, service history links to the right customer.
- Step 3 — Verification (1 hour, your part). You log in, we walk through 20-30 customers together to check the import. If anything looks off, we fix it on the spot. You don't pay until you're happy.
- Step 4 — Routes & day plan (we do the work). We import your fixed routes and set the team up with the day plan app on mobile. First AI route calculation runs automatically when you plan the week.
- Step 5 — Integrations (we do the work). We connect your bookkeeping (Dinero, Billy or e-conomic), enable MobilePay on the invoice, and optionally set up Meta lead import if you run Facebook ads.
- Step 6 — Go live. You run normally in Clientflow. You keep access to Fenster for a short overlap window as a safety net — typically a few days — so you can look back if you need to. When you're comfortable, Fenster is cancelled.
What maps — field by field
This is the technical section. If you want to know exactly which data carries over, here's the list:
- Customer database: name, address, postcode, phone, email, CVR, comments, creation date — 1:1 to Clientflow contacts.
- Subscription agreements: service, price, frequency, start date, cancellation rule — become recurring calendar jobs with auto-invoicing.
- Service history: all past visits with date, service and notes — visible under the customer card's history tab.
- Routes & address lists: imported as route groups. AI route calculation takes over from the first scheduled week.
- Invoice data: last 12 months' invoice numbers and payment status carry over for accounting reconciliation.
- SMS templates & messages: imported as communication templates — your standard messages work from day 1.
- Users & roles: your employees are created with corresponding roles (admin, manager, worker). They get an invite email on first run.
What changes on day 1?
The biggest change isn't the data — it's just moved. The biggest change is what you can do in the interface.
- The day plan on mobile looks different. It's still today's jobs, but in Clientflow the worker gets automatic navigation to the next address, check-in with timestamps, photo/note fields and a complete button that triggers the invoice automatically.
- You can create a lead form for the website. The lead module captures inquiries from the website and Facebook directly into the pipeline. You didn't have that in Fenster.
- Routes are calculated automatically. When you create a new job, AI plans the optimal route into the week. If someone cancels or an urgent job drops in, the system replans automatically — you do nothing.
- Invoice sent from the job. When the worker marks complete, typically 30 seconds later the customer's MobilePay invoice is sent. That replaces the tail you had in Fenster.
What do you have access to on day 30?
After a month on Clientflow, you've used features you probably never had in Fenster. Not a sermon — just what you typically end up using:
- Lead pipeline with 15-30 leads in different stages. Even without active inbound, the website lead form and Facebook contacts typically generate flow.
- Invoice automation. No more invoice tail after the week — all invoices send automatically when the job is complete.
- Reports you actually check. Revenue per customer, margins per route and performance per employee typically get checked weekly after the first 30 days.
- GPS overview of the team. Not because you're tracking people — but because you can give customers precise ETAs and document visits against complaints via fleet GPS.
- Workflow routines running automatically. Reminder 2 days before visit, invoice 1 day after, follow-up 7 days later. Set up once — runs for the rest of the year.
What does it cost?
The migration itself is free. You only pay for the Clientflow subscription, and the trial is 14 days.
For a concrete price picture, we have a dedicated Fenster pricing page that breaks down Fenster's plans, adds SMS and add-ons, and compares total cost with Clientflow's three plans. For 3-5 employees Clientflow Starter costs 496-694 kr/mo (199 kr + 99 kr per user), while Fenster Pro costs 399 kr/mo plus 199 kr per extra user and 0.375 kr per SMS.
We have no 12-month lock-in. That means if you regret it, you can go back to Fenster — though it hasn't happened with us yet.
The honest risks
We'd rather tell you this than have you discover it:
- A couple of days to get used to the interface. Clientflow has more features than Fenster, so you'll need to learn where things live. We do an onboarding call and stay on support, so it usually goes quickly.
- Your team needs to learn the new mobile app. Most people are running on it after a morning — the app is built to be self-explanatory on the first job.
- Invoice numbers don't continue automatically. We import the last 12 months as reference, but new invoices start a new number series (you choose where it begins).
How to start
The easiest path is to create a free Clientflow account and tell us you want to migrate from Fenster. We get back within 24 hours and agree on the export path. The entire process is free and you pay only after the trial ends.
If you'd rather talk before creating an account, write directly to me (Daniel) or Thomas — we answer ourselves. We have no salespeople. We explain what migration concretely means for your business and give an honest answer on whether you should switch at all. If the right answer is to stay on Fenster, we say so.
Thanks for reading. If you have questions about migration or just want to talk through what a switch means for your business, write directly.
