Billy integration: invoices that write themselves

Connect Clientflow to your Billy account and let invoices write themselves. When a job is completed, Clientflow creates the invoice in Billy — sent straight to the customer or saved as a draft. Payment status comes back automatically, so you can see what's been paid.

What you get from the integration

Billy handles your accounting — Clientflow handles operations. Together they close the gap between the work done and the bookkeeping.

Automatic invoicing

When a job is completed, the invoice is created in Billy with customer, line items and amounts. The customer is found in Billy by VAT number or email — or created automatically.

Send automatically or save as draft

Choose whether the invoice goes to the customer right away or is saved as a draft. In draft mode, new jobs for the same customer are added to that customer's open draft, so you can send one combined invoice.

Payment status comes back on its own

Clientflow checks your invoices in Billy every hour. When an invoice is paid or overdue, you see it on the job in Clientflow.

Card payments reconciled in Billy

If you take card payments through Stripe, the payment and the fee are booked in Billy through Stripe reconciliation — so your books balance without manual work.

How it works in practice

You work the way you always do in Clientflow. Invoicing happens in the background.

1. Job is completed

The worker completes the job in Clientflow — on their phone or from the office.

2. Invoice created in Billy

Clientflow finds the customer in Billy or creates them, and builds the invoice from the job's line items. You can choose to show the service address, the next planned visit and the completion time on the invoice line.

3. Sent or saved as draft

With Send automatically, the invoice goes straight to the customer. With Save as draft, it waits in Billy until you approve it yourself.

4. Status back to Clientflow

When the customer has paid, or the invoice is overdue, the status updates in Clientflow. Your customers can also view and download their invoices in the customer portal.

How to connect Billy

You need an active Billy account and administrator access in Clientflow. The connection uses an API key from Billy, which you copy over once.

    Find your API key in Billy

    In Billy, you'll find the key under Settings → Public API.

    Go to Settings → Accounting → Billy

    The Billy tab sits under Accounting integration in Clientflow settings.

    Paste the key and click Connect to Billy

    Clientflow checks the key with Billy right away. The connection is permanent and does not need renewing.

    Choose the Invoicing action

    Under Billy Settings, choose Send automatically or Save as draft, and what the invoice line should show. Test connection lets you check at any time that everything works.

Frequently asked questions about the Billy integration

Does the Billy integration cost extra?
No. The Billy integration is included in every Clientflow plan. You only pay for your Billy subscription with Billy.
Can I use Billy together with Dinero or e-conomic?
No — you connect one accounting system at a time. To switch, disconnect the current one first and then connect the new one.
Can I combine several jobs on one invoice?
Yes, with Save as draft. New jobs for the same customer are added to that customer's open draft in Billy until you approve it. Once you approve the draft in Billy, Clientflow picks that up within the hour, and the next job starts a new draft.
Can I invoice public-sector customers with an EAN number?
Not through Billy. Billy doesn't support EAN numbers or e-invoicing to public-sector customers, so that payment method isn't available while you use Billy. If you have public customers who require EAN, the Dinero integration supports it.
What happens if the connection to Billy stops?
If access is revoked in Billy, Clientflow shows the status Connection revoked, and no invoices are created until you reconnect with a new API key. If you reconnect to the same company as before, your previous setup is restored automatically.
What happens if an invoice fails?
An error banner appears on the job in Clientflow with the reason. When it's safe to retry, you can do so straight from the banner once the issue is fixed.
Do card payments work with Billy?
Yes. With the Stripe integration, customers can pay by card, and the payment is booked against the invoice in Billy via Stripe reconciliation — fee included.
