Integrations and billing
Clientflow connects with the systems you already use — accounting, telephony, lead sources, and more. This guide covers every integration and how to set them up.
Billing and accounting
Clientflow integrates directly with three Danish accounting tools: Dinero, e-conomic and Billy. You connect one at a time — all three let Clientflow create invoices automatically when a task is completed.
Dinero
Setup:
- Go to Settings → Accounting → Accounting integration → Dinero
- Click Connect to Dinero and sign in with your Visma account
- If you have several Dinero companies, pick the one Clientflow should invoice through
e-conomic
Setup:
- Go to Settings → Accounting → Accounting integration → e-conomic
- Click Connect to e-conomic — you're redirected to e-conomic, where you pick the company (agreement) Clientflow should invoice through
- Pick a Revenue account, a Debtor account and an optional Customer group
Billy
Setup:
- Find your API key in Billy under Settings → Public API
- Go to Settings → Accounting → Accounting integration → Billy in Clientflow
- Paste the key into the API key field and click Connect to Billy
The connection is permanent and doesn't need renewing. Billy doesn't support EAN invoicing — if a customer needs an EAN invoice, use Dinero.
Billing handling
Under Invoicing action you pick one of two modes:

| Send automatically | Invoices are created AND automatically sent to the customer |
| Save as draft | Invoices are created as drafts — you review and send manually |
Recommendation: Start with "Save as draft" until you're comfortable the system generates correct invoices. Then switch to "Send automatically" for full automation.
Payment method per customer
The payment method is stored on the contact — not on the individual subscription or task. That means one customer has the same billing setup across everything you do for them.
Error handling
If an invoice fails:
- An error banner is shown on the relevant task
- You can retry directly from the banner
- Common causes: missing customer data, invalid CVR, expired connection or network error
Telephony and SMS
Clientflow provides telephony and SMS directly — you don't need separate agreements with telecom providers.
Setup
- Go to Settings → Integrations → Communication
- Click Request setup
- Clientflow contacts you and guides you through cancelling your current phone provider
- We order new SIM cards and handle the porting of your numbers
- You're notified when setup is complete and ready to use
Features
- IVR — professional phone menu (keypad press → queue, submenu, voicemail, external forwarding)
- Queues — automatic distribution of calls across assigned agents
- Opening hours — per weekday, with an automatic message outside working hours
- Call recording — every conversation is stored securely
- AI transcription — calls are transcribed automatically and can be used for documentation and follow-up
- Click-to-call — call the customer directly from the contact or lead card
IVR menu builder
Build your phone menu visually:
- Go to Settings → Telephony → IVR
- Create a new menu
- Assign actions to keypad presses (1–9, 0, *, #):
- Forward to queue — send to a call queue
- Submenu — open a new menu
- Voicemail — send to voicemail
- External number — forward to another number
- Hang up — end the call
- Upload audio files for each menu item
SMS
SMS is used for:
- Customer notifications before tasks (automatic reminders)
- Direct messages from the communications module
- Quote links
- Field-worker contact with customers
Pricing
Telephony is included in your subscription. SMS is billed by actual usage: 0.35 DKK each excl. VAT, monthly in arrears.
Email integration
Domain setup
To send and receive email via Clientflow:
- Go to Settings → Integrations → Email
- Add domain (e.g.
yourcompany.dk) - Clientflow generates DNS records:
- DKIM — cryptographic signing of your emails
- SPF — authorization of Clientflow's mail servers
- Add these records at your DNS provider (e.g. Simply, Curanet, GoDaddy)
- Clientflow verifies automatically when the records are active
Email addresses
Create email addresses linked to inboxes:
- Each domain can have multiple email addresses
- Each email address is linked to an inbox
- Incoming emails are routed automatically to the right inbox
Subject templates
Configure default subject lines for automatically generated emails (e.g. task notifications).
Error handling
If DNS verification fails:
- An error banner is shown on the domain
- Error details and proposed fixes are shown
- Common causes: incorrect DNS records, missing propagation (can take up to 48 hours)
Fleet tracking
Clientflow provides its own fleet tracking — your location data goes directly from the vehicle to Clientflow, with no third parties.
How it works
- A GPS device is installed in the vehicle
- The device sends positions directly to Clientflow
- Trips are detected automatically and built into history
- You see every vehicle's position live under Fleet → Tracking. A miniature map is also shown in the sidebar of the Calendar page if you're working there.

Vehicle setup
- Go to Settings → Fleet
- On the Vehicles tab: create a vehicle with:
- Name and license plate
- Vehicle type (van, car, truck, motorcycle)
- Fuel type (petrol, diesel, electric, hybrid)
- Capacity (kg)
- Assigned team member — links the vehicle to a field worker
- Switch to the GPS tab and assign the device to the vehicle — each device is listed by its IMEI
Ordering hardware
Clientflow ships preconfigured GPS devices directly. Need devices? Order them under Settings → Fleet → GPS → Need devices? — Click here.

Facebook / Meta Lead Ads
Setup
- Go to Settings → Leads → Sources
- Click Connect Facebook
- Log in with your Facebook account and approve access
- Pick which Lead Ad forms to sync
How it works
- When someone submits a Facebook Lead Ad form, a lead is automatically created in Clientflow
- The lead is placed in the "New" column with all contact details
- Meta attribution data (campaign, ad set, form, timestamp) is saved on the lead and shown on the lead detail page
You can filter and report by campaign to see ROI per ad.
Webhooks
Incoming leads
Receive leads from websites, landing pages or third-party systems via webhook:
- Create endpoint in Settings → Leads → Sources
- Send test data from your system
- Map fields — tell Clientflow which fields correspond to name, email, phone, address
- Activate — new leads are created automatically
You can create custom fields directly in the mapping step — they then appear on the lead card.
Outgoing webhooks (payment)
On cash payment, Clientflow can call a webhook:
- Configure URL, headers and payload format
- Useful for integration with POS systems or accounting software
Customer portal
Activation
- Go to Settings → General
- Enable Customer portal
- (Optional) Set up a custom domain under Settings → Integrations → Portal
Invite customers
From a customer's contact page:
- Click Invite to portal in the sidebar
- The customer receives an invitation email
- Status updates: pending → accepted
What the customer sees

Rescheduling requests
When a customer requests rescheduling via the portal:
- A request is created with the desired new date and an optional message
- You receive the request in Clientflow
- Approve or decline the request
Danish data sources
Clientflow taps into official Danish data sources, so you don't have to type addresses and property info by hand. All run automatically without setup.
