Documentation & guides
Everything you need to know about Clientflow — from setup to advanced features.
Getting started with Clientflow
Welcome to Clientflow — your all-in-one platform for managing field service work. This guide walks you through everything from your first login to your first scheduled task.
Subscriptions: Recurring service jobs
Subscriptions are the backbone of many service businesses — recurring customers with regular visits. Clientflow handles everything from simple weekly visits to complex arrangements where different services are performed at different intervals.
Calendar and route optimization
The calendar is your daily control center — the place where you plan, assign, and optimize every task for your team. Combined with built-in route optimization, Clientflow typically saves 20–30% in driving time.
Leads: From inquiry to customer
The leads module is your sales pipeline — where you handle new inquiries from potential customers, send quotes, and convert leads into paying customers. All gathered on an intuitive Kanban board.
Communication: Email, SMS and inbox
Clientflow's communications module brings all customer conversations into one place. Whether the customer sends an email, an SMS, or you add an internal note — everything is gathered into a single coherent thread per customer.
Contacts and the customer index
The contacts module is your complete customer index. Here you keep all the information about your customers — contact details, addresses, communication history, tasks, subscriptions and notification settings.
Day plan: A guide for field workers
The day plan is your personal app for the day's tasks. See your jobs in order, navigate to customers, log your work, and stay in touch with the office — all from your phone.
Reports and insights
The reports module gives you an overview of your business's key metrics — from revenue and lead conversion to team performance and complaints. Every report can be filtered by time period.
AI features: Smart reply suggestions and automation
Clientflow's AI module analyzes your customer communication and suggests replies, actions, and templates — saving you time while delivering consistent service. The AI learns from your choices and adapts to your company's style.
Integrations and billing
Clientflow connects with the systems you already use — accounting, telephony, lead sources, and more. This guide covers every integration and how to set them up.
Team: Internal communication and collaboration
The team module brings internal communication together in two places: the Bulletin Board (/team) for news, polls and events, and Messages (/team/messages) for direct messages and group chats.
Export your data from Previsto
Switching to Clientflow from Previsto? This guide walks you through the two exports in Previsto — contacts and service agreements — and how to send the files to us so we can import them for you.
Telephony: Calls, phone menu and voicemail
Clientflow has a built-in phone system. Your calls and your customers' calls run through it, and every call lands in the same conversation thread as that customer's SMS and emails — calls, SMS and email together in one place per customer.
Installing GPS devices
Clientflow ships preconfigured FMT100 vehicle trackers. This guide walks through all five steps — fitting the device on the vehicle and assigning it to the right vehicle in Clientflow.
Find your SIM card number for number porting
Porting your number to Clientflow takes two things: the number you want to use and the SIM card number (ICCID) it currently lives on. This guide shows where to find the ICCID on iPhone and Android — physical SIM or eSIM.
Price configuration: Hourly rate and rounding
Price configuration is the one place you set your hourly rate and rounding rules. These settings are used to calculate prices across Clientflow — from quotes in Leads to your booking portal — so you get consistent pricing without entering the same rate in several places.
Export your customers from SkvizBiz
Switching to Clientflow from SkvizBiz? This guide walks you through the single backup export in SkvizBiz — your customer register under Kunder → Kundeoversigt — and how to send the file to us so we can import it for you.
Payments: Get paid automatically by card, Apple Pay, Google Pay and MobilePay
Payments let you collect money directly from your own customers — by card, Apple Pay, Google Pay and MobilePay. Saved cards are charged automatically when an order is completed, so recurring work and subscriptions pay for themselves. The money is paid out to your own bank account, and you never have to log in to Stripe.
Worker pay: commission, hourly & fixed salary
Every worker in Clientflow is paid on one of three models — commission, hourly, or fixed salary. This guide covers how to set each one up, how commission is calculated from revenue excluding VAT, how to schedule rates ahead of time, and how to read the pay overviews and export for payroll.
How to connect Meta Lead Ads with Clientflow
When you run lead ads on Facebook or Instagram, the leads that come in can be sent automatically into Clientflow. This guide walks you through the three steps — connecting Meta in Clientflow, granting lead access inside Meta, and testing the chain with a real test lead — plus how to handle old leads and troubleshoot missing ones.
Units: Split your company into geographic departments
Do you run two towns from the same Clientflow account? Units split your company into geographic departments, so each one gets its own calendar, its own routes and its own key figures — without two accounts, two logins and two subscriptions.
Which type should I choose?
When you create a subscription, Repeats by offers three types: Regular interval, Season and Fixed dates. The type decides when you visit the customer — and how the subscription can be billed. This guide gives you the overview, so you pick the right one the first time.
