Day plan: A guide for field workers
The day plan is your personal app for the day's tasks. See your jobs in order, navigate to customers, log your work, and stay in touch with the office — all from your phone.
Overview
The day plan has two tabs you can swipe between:
Flow tab (default)
Your tasks for the day, shown in optimized order. Each task card shows:
- Customer name and address
- Scheduled time window
- Task status
- Navigation button
- Call button
- Contact customer button
Overview tab
A consolidated view of the entire day's schedule:
- Total number of tasks
- Estimated working time
- All tasks shown compactly
Task status: Step by step
Each task follows a fixed sequence:
Planned → Drive (en route) → Finish (completed)
1. Planned
The task is waiting. You see all details and can prepare.
2. Drive (en route)
Tap Drive to mark that you're heading to the customer:
- GPS navigation opens automatically (Google Maps or Apple Maps)
- The system logs the travel time
- Optional: The customer can receive an automatic SMS that you're on the way
3. Finish (completed)
Tap Finish when the task is done. A logging sheet slides up:
Logging on completion
When you finish a task, you fill in:

| Service notes | Add or edit notes for individual service items |
| Address notes | Update notes about the customer's address (parking, door access, etc.) |
| Message to office | Send a short message to the office about this visit |
| Photos | Take photos for documentation |
| Edit icons | Change status icons on the service lines |
| Payment method | Confirm or change the payment method for this order |
| All as expected | Confirm the task went as planned — hides the other fields |
| Driving to next | Indicate whether you're driving straight to the next customer after finishing |
| GPS position | Logged automatically on completion |
Subscription tasks: Extra fields
If the task is part of a subscription, you can:
- Update icons for individual subscription items
- Add notes to specific service items
Reporting
If you run into a problem or have an observation, you can create a report on a task:
- Tap the report button
- Pick a type:
- Info — a neutral observation (e.g. "New dog in the garden, friendly")
- Problem — something that needs attention (e.g. "Roof leaking near the chimney")
- Write a description
- The report is immediately visible to the office
Reports with the status "Problem" can trigger a review at the office (the task status changes to "Needs review").
Navigation
Navigation modes
Your administrator has chosen one of two navigation modes for you:

| Route | Full route from your home address through all the day's stops |
| Address | Direct navigation to each customer's address |
The navigation button opens Google Maps (Android) or Apple Maps (iOS) with the relevant route.
Contact the customer
Tap the Contact customer button to choose:
- Call — starts a call to the customer's phone number
- SMS — opens SMS with the customer's number pre-filled
Quick lead creation
Spotting an opportunity for extra work? Tap New lead at the top of the screen:
- Add a short description of the opportunity
- Pick a contact manually
- The lead appears in the office's lead pipeline immediately
Permissions and visibility
What you can see and do in the day plan depends on the permissions your administrator has set:

Every field worker can always:
- See their own tasks
- Change task status (drive/start/finish)
- Add photos and remarks
- Create reports
- Contact customers
Offline and mobile features
Offline mode
If you lose your internet connection:
- An offline banner appears at the top
- You can still see your tasks (cached data)
- Actions sync when the connection comes back
PWA (Progressive Web App)
Clientflow can be installed as an app directly from the browser:
- An "Add to home screen" banner appears automatically
- The app opens in full screen without a browser frame
- Push notifications (when enabled)
iOS app
Clientflow is also available as a dedicated iOS app with:
- Native haptic feedback (vibrations on actions)
- Push notifications
- Optimized for iPhone
Pull-to-refresh
Pull down on the screen to refresh your tasks.
Notifications
You can receive push notifications about:
- New tasks assigned to you
- Changes to the day's schedule
- Messages from the office
Enable notifications when prompted — or go to your phone's settings to turn them on later.
Tips for efficient use
- Check the day plan in the morning — see your schedule and plan your route
- Use the "Drive" button — it gives the office real-time visibility of where you are
- Take photos — documentation of your work is valuable for both the customer and the business
- Report problems — the sooner the office knows, the sooner they can act
- Create leads — extra sales opportunities are most often spotted by the person on site
