How to connect Meta Lead Ads with Clientflow

When you run lead ads on Facebook or Instagram, the leads that come in can be sent automatically into Clientflow. The moment someone fills out your form, they land in your Leads overview — with nothing to import manually.

Setup takes about 10 minutes. You'll go through three things:

  1. Connect Meta in Clientflow
  2. Give Clientflow access to your leads in Meta
  3. Test that it works

Before you start: You need to be an administrator on the Facebook Page the ads run from. If you're not, ask the person who owns the Page to make you an administrator first — otherwise you can't complete step 2.


Step 1: Connect Meta in Clientflow

  1. Go to Settings → Leads in Clientflow
  2. Find Meta Lead Ads and click Connect
  3. Log in with the Facebook account that has access to your Page
  4. Approve the permissions Meta asks for
  5. Select the Facebook Page your lead ads run from

Meta Lead Ads should now show Connected with your Page underneath.

That isn't enough on its own. The connection is created, but Clientflow doesn't yet have permission to fetch the leads themselves. Step 2 takes care of that.


Step 2: Give Clientflow access to your leads

This happens inside Meta, not in Clientflow. Meta requires you to explicitly approve which systems are allowed to receive your leads.

  1. Go to business.facebook.com and log in
  2. Select the correct business portfolio in the top left
  3. Click Settings (the gear at the bottom of the left menu)
  4. In the left menu: Integrations → Lead access
  5. Select your Facebook Page in the list
  6. Click the CRMs tab
  7. Click Assign CRM in the top right
  8. Search for Clientflow and select it
  9. Confirm

Clientflow now appears under CRMs with lead access.

Can't find Lead access? Use the search in Business Suite (the magnifying glass on the left edge) and search for "lead access". Note that Meta has several screens that look alike — you're in the right place when it says Lead access under the Page's name and there's a tab called CRMs.


Step 3: Test that it works

Send a test lead through so you know the chain holds together — instead of finding out the next time a real customer writes.

  1. Go to developers.facebook.com/tools/lead-ads-testing
  2. Select your Page under Page
  3. Select Lead Retrieval under Product
  4. Select one of your active forms under Form
  5. Click Create lead
  6. Open Clientflow under Leads

The test lead should now sit in the New column, marked with Facebook.

Remember to delete the test lead afterwards, so it doesn't get pulled into your follow-up.


Important: Old leads don't come along

Leads are sent to Clientflow the moment they're created. Leads that came in before you set up the integration are not sent retroactively — and they can't be re-sent from Meta.

If you have leads sitting in Meta from before setup, you need to create them manually in Clientflow:

  1. Open Meta Lead Center (business.facebook.com → Lead Center)
  2. Open each lead and note the name, phone, email and address
  3. In Clientflow: Leads → Add lead and enter the details

From then on, everything comes in automatically.


Troubleshooting

No leads are coming in

Run the test in step 3. It tells you where the problem is:

What happensWhat it means
The test lead lands in ClientflowEverything works. Missing leads are probably old leads from before setup.
The test lead doesn't land in ClientflowAccess is missing — go through step 2 again.

The test tool shows a yellow warning about Clientflow

In the test tool you may see a yellow box with App ID 1429265959199329 – Clientflow. Expand it and read what it says:

"App does not have leads permission" Clientflow is missing lead access. Go through step 2.

"App is not installed by any of the admins" In some cases this can stay showing even though leads are delivered perfectly normally. So always test with a real test lead (step 3) rather than going by the warning. If the test lead lands in Clientflow, your integration works — no matter what the box says.

If the warning stays and the test lead doesn't come through, contact us. Then we'll look at it together.

I can't assign CRM access

You need to be an administrator on the Facebook Page. If you only have editor access or are connected through an agency, you can't assign lead access. Ask the Page's owner to make you an administrator, or to complete step 2 themselves.

I've changed forms or created a new one

Lead access applies to the whole Page, not to the individual form. If you create new forms, their leads come in automatically. You don't need to do anything.
