Price configuration: Hourly rate and rounding

Price configuration is the one place you set your hourly rate and your rounding rules. These settings are used to calculate prices across Clientflow — from quotes in Leads to your booking portal — so you avoid entering the same rate in several places and always get consistent pricing.

You'll find it under Settings → Services, at the top in the Price configuration card.


The three settings

Hourly rate (DKK/h)

Your hourly rate is the starting point for all automatic price calculation. When Clientflow knows the time estimate for a task, the time is multiplied by the hourly rate to find the price. Change the hourly rate and it flows through everywhere prices are calculated from time.

Rounding increment (DKK)

The rounding increment decides which amount prices are rounded to. Set the increment to 5 and every calculated price lands on a whole multiple of 5 (5, 10, 15, 20 …). That gives clean, sales-ready prices instead of awkward odd amounts.

Rounding mode

The rounding mode decides the direction prices are rounded:

The default is "Round up". That ensures rounding never pulls the price below what the calculation produced.

The card shows a live example below the fields, so you can see the effect of your choices before you save.


How a price is calculated

  1. Clientflow takes the task's time estimate (for example from a service or a quote template).
  2. The time is multiplied by your hourly rate.
  3. The result is rounded according to your rounding increment and rounding mode.

Any minimum prices on individual services still apply — a service never falls below its minimum price, regardless of hourly rate and rounding.


Where is price configuration used?

These settings are central and used in several places in Clientflow:

  • The quote builder under Leads — when you build a quote from time estimates, line prices are calculated with your hourly rate and rounded by your rules.
  • The booking portal (quote calculator) — the prices your customers calculate themselves on your website use the same hourly rate and rounding, so portal prices match what your office sees.
  • Season subscriptions — on a subscription billed Per season, the suggested price for the rest of the first season is rounded by your rounding rules too. Read more in Subscriptions: Recurring service jobs.
  • Anywhere else prices are calculated from time — consistently, so one place drives your pricing.

Price adjustment — change many prices at once

The Price adjustment button at the top right of the card opens a guided flow that helps you raise the prices on your subscriptions by a chosen percentage — for example an annual price increase. You can update your hourly rate at the same time, preview the effect on your revenue, exclude individual agreements, and add a note before you confirm.

Price adjustment changes the prices on existing subscriptions. The hourly rate and rounding rules in Price configuration apply to new calculations.


How to save

Edit the fields and click Save. The changes take effect immediately for new price calculations.


FAQ: Price configuration

What's the difference between the hourly rate and the minimum price?
The hourly rate in Price configuration is multiplied by the time estimate to find a price. The minimum price is set per service and is a floor the price never falls below — even if hourly rate times time gives a lower amount.
Does a new hourly rate affect my existing quotes and subscriptions?
No. A new hourly rate is used for *future* calculations. Quotes and subscriptions you've already created keep their prices until you change them yourself — for example via Price adjustment.
Why do my prices end on awkward amounts?
Then the rounding increment is probably set low (for example 1), or the rounding mode is set to "Round down". Set the increment to 5 or 10 and the mode to "Round up" for clean, sales-ready prices.
Does my booking portal use the same hourly rate?
Yes. The booking portal's quote calculator uses the hourly rate and rounding you set here, so the customer's self-service prices match the ones your office works with.
What does "Round to nearest" do?
It rounds to the closest increment — up or down, whichever is nearer. With increment = 5, 123 becomes 125, while 121 becomes 120.
